 Adding clients and projects

Once you’ve created your account, you can sign in and get right to work.

When you first log-in to Xprove will be prompted to create a company and a project. Your clients are organized in Xprove by company. You grant companies access to your projects. Often you’ll want to limit access to a project to just a few members of a company. Xprove allows you to do that.

To get your first project started you will need to:

  1. Create a company
  2. Add people to the company
  3. Create a project and grant a company access to it
  4. Modify who has access to a particular project (optional)

The Xprove dashboard

Account controlsHere is where you manage your projects. On the left is a list of your active projects. To the right (pictured) are the account controls. You get a thumbnail view of your account details – your plan, your disk usage, bandwidth used this billing period, and the number of active projects. You’ll begin by creating a new company.

Creating companies and populating them with people

When you create a company, you must add at least one person to it. Clients will log-in to the system with their email address and the password you assign. They can change their password if they like.

Once you’ve created a company, you can modify it from the View All People page. There you can edit, deactivate, or delete individuals. More on that in a bit.

Some users find that if they have multiple workgroups as clients within a company, that it's easier to treat each workgroup as a separate company within Xprove.

Creating projects

When you create a project, you are prompted to add a company to it. The default is for all the people in the company to be granted access to the new project area, but you can override this. Simply click on the People tab from within the project and you can deactivate or add anyone from any company you like.

Adding, deactivating, and deleting people

People toolsIt’s important to note that deactivating people in Xprove is context sensitive. Deactivating a person from the People tab within a project, only deactivates that person’s access to that project. He or she remains active in all other projects. Deactivating people from the View all People option in the Dashboard deactivates that person throughout all projects in your account.

To delete a person permanently, click the Edit button in any people view. Deleting a person is not context sensitive. Once deleted, a person is completely removed from your Xprove account. Since Xprove allows an unlimited number of users per account, deactivating is usually the better choice.

Deactivating and deleting companies

Deactivating and deleting companies works the same as deactivating and deleting people, except that you are performing the operation on all people in the company. After a particularly troublesome project, it’s often cathartic to delete that company, but you may just want to deactivate it to avoid typing in all those names, addresses and passwords the next time you work with them.
